Regulations of Kyoto University Alumni
Article 1: Name
The name of the association shall be Kyoto University Alumni.
Article 2: Purpose
The purpose of Kyoto University Alumni is to promote exchange and friendship among its members while, at the same time, contributing to Kyoto University’s overall development.
Article 3: Activities
In order to attain the objectives set out in Article 2, Kyoto University Alumni shall undertake the following:
- 1Activities related to providing and disseminating information regarding the current status of education and research activities at Kyoto University, and activities to promote exchange and friendship among alumni association members and help maintain their connections to Kyoto University
- 2Activities necessary for designing, planning, and implementing initiatives related to Kyoto University and alumni association members
- 3Other activities consistent with the purposes of Kyoto University Alumni
Article 4: Membership
Members of Kyoto University Alumni shall be organizations or individuals that support the association’s purposes and fall under one of the following categories:
- (1)Alumni associations of Kyoto University faculties, graduate schools, or some other academic unit, or members thereof
- (2)Regional alumni associations (including those based overseas) or members thereof
- (3)Alumni associations of Kyoto University’s official extracurricular clubs, or members thereof
- (4)Alumni associations deemed by the secretaries as qualified for membership, or members thereof
- (5)Graduates of Kyoto University undergraduate or graduate programs who do not belong to any of the associations specified in Items 1 to 4 of this article, but who wish to join Kyoto University Alumni
- (6)Current or former Kyoto University executive officers, faculty, or staff who wish to join Kyoto University Alumni
- (7)Other persons deemed qualified for membership by the secretaries’ meeting.
Article 5: Executive Officers
1Kyoto University Alumni shall have the following executive officers:
- (1)Chair
- (2)Vice-chairs: several
- (3)Trustees: up to 100
- (4)Secretary-general: 1
- (5)Secretaries: up to 30
- (6)Auditors: several
- 2In addition to the above, other types of executive officers, such as advisors and honorary chairpersons, may be appointed as necessary.
Article 6: Appointment of Executive Officers
- 1The President of Kyoto University shall serve as the chair.
- 2The vice-chairs and auditors shall be appointed by the chair from among the alumni association members.
3The following persons shall be appointed as trustees:
- (1)Graduate school/faculty deans
- (2)Persons appointed by the chair based on a recommendation by an alumni association of a faculty, graduate school, other academic unit, official extracurricular club, or regional alumni association.
- (3)Other persons appointed by the chair
- 4The Chair shall report the appointments made pursuant to Items 3.1) and 3.3) to the Executive Officers’ General Meeting.
- 5The executive vice-president in charge of Kyoto University Alumni shall be appointed Secretary-general.
6Secretaries shall be individuals who:
- (1)Have been appointed by the chair based on a recommendation by an alumni association of a faculty, graduate school, or other academic unit.
- (2)Have otherwise been appointed by the chair
Article 7: Duties of Executive Officers
- 1The chair shall represent Kyoto University Alumni and preside over its affairs.
- 2The vice-chairs shall assist the chair and, when necessary, act on behalf of the chair.
- 3The trustees shall discuss important matters pertaining to the activities of Kyoto University Alumni.
- 4The secretary-general shall oversee the implementation of association affairs and supervise the secretariat.
- 5Secretaries shall plan and implement the activities of Kyoto University Alumni in cooperation with the secretariat, and shall liaise and coordinate with each alumni association.
- 6Auditors shall audit the operations of Kyoto University Alumni and report their audit results to the Executive Officers’ General Meeting.
Article 8: Term of Office
The term of office of each executive officer shall be two years, with reappointment possible. The term of an executive officer appointed to fill a vacancy shall be the remainder of the previous office holder’s term.
Article 9: Meetings
Kyoto University Alumni shall hold the Executive Officers’ General Meeting and Secretaries’ Meeting.
Article 10: The Executive Officers’ General Meeting
- 1The Executive Officers’ General Meeting shall be attended by the chair, vice-chairs, trustees, secretary-general, and secretaries.
- 2The Executive Officers’ General Meeting shall discuss important matters pertaining to the administration of Kyoto University Alumni and the implementation of its activities.
- 3The chair shall convene and chair an Executive Officers’ General Meeting at least once a year.
- 4The Executive Officers’ General Meeting cannot be convened or adopt resolutions unless the majority of the executive officers as specified in Section 1 are present.
- 5Resolutions at the Executive Officers’ General Meeting shall be adopted by a majority vote of those present, or by the chair in the case of a tied vote.
Article 11: The Secretaries’ Meeting
- 1The Secretaries’ Meeting shall be attended by the secretary-general and secretaries.
2The Secretaries’ Meeting shall discuss the following:
- (1)Matters related to member enrolment, withdrawal, and dismissal
- (2)Matters that need to be discussed in relation to the agenda items to be proposed to the Executive Officers’ General Meeting
- (3)Matters related to designing, planning, and implementing the activities of Kyoto University Alumni
- 3The secretary-general shall convene and chair the Secretaries’ Meeting.
- 4The Secretaries Meeting cannot be convened or adopt resolutions unless the majority of the secretaries are present.
- 5Resolutions at the Secretaries’ Meeting shall be adopted by a majority vote of those present, except in prescribed cases, or by the secretary-general in the case of a tied vote.
Article 12: Secretariat
- 1Kyoto University Alumni shall have a secretariat.
- 2The secretariat shall be based at Kyoto University.
Article 13: Revisions of the Regulations
These regulations may be revised at the Executive Officers’ General Meeting by a majority vote of the executive officers specified in Item 1 of Article 10.
Article 14: Miscellaneous Provisions
Any matter not specified herein that is necessary for the administration of Kyoto University Alumni or for the implementation of its activities shall be discussed at the Executive Officers’ General Meeting and determined by the chair.
Supplementary provisions
- 1These regulations shall take effect on November 3, 2006.
- 2Notwithstanding the provisions of Article 6, at the time of Kyoto University Alumni’s founding, the executive officers shall comprise the individuals listed in the appendix (omitted).

These regulations shall take effect on August 1, 2008 and shall be applicable from April 1, 2008.
Supplementary provision
These regulations shall take effect on July 19, 2013.
Supplementary provision
These regulations shall take effect on September 5, 2014.
